GUIDE · REFUNDS & CANCELLATIONS

Accounting for airline ticket refunds and cancellations.

A refund touches three parties: the airline that returns the money, the agency that may keep a fee and the customer who receives the balance. Each step needs an entry, and every entry should point back to the original ticket.

How a refund flows

  1. Customer cancelsThe customer asks to cancel, and the agency checks the fare rules for the refundable amount.
  2. Refund is processedThe agency processes the refund in the GDS, BSPlink or the airline portal.
  3. Airline refunds the agencyThe airline returns the refundable amount, less its cancellation charge, through BSP or the agency’s airline account.
  4. Agency credits the customerThe agency issues a credit note for the amount due to the customer, less any agency cancellation fee.
  5. Customer is paid or creditedThe balance is paid out or kept on the customer’s account against future bookings.

Common refund problems

  • Refunds processed in the GDS but never recorded, so the customer balance is wrong
  • Credit notes raised without a link to the original invoice
  • Refunds that arrive in a later BSP period and are missed in reconciliation
  • Agency fees that are charged but not reported for GST

Refunds in SYSTACC

In SYSTACC, a refund comes back against the original ticket, so the credit note, the adjusted airline payable and the customer balance all start from the sale they change. Open refunds stay visible until the airline settles them, and BSP reconciliation picks them up from the same record.

FAQ

Frequently asked questions

Should a credit note be issued for every refund?

Yes. A credit note to the customer, linked to the original invoice, records the reduction in what they owe and supports the GST treatment of any reversed fee.

How long do airline refunds take to settle?

It depends on the airline and the settlement channel. BSP refunds settle in a later billing period, so track open refunds until they appear on the statement.

Is GST charged on a cancellation fee?

The agency’s own cancellation fee is generally a taxable service. The airline’s cancellation charge is handled by the airline. Confirm the treatment with your CA.

Can a refund be kept as customer credit?

Yes. The refund can stay on the customer’s account and be applied to a future booking, as long as the ledger shows it clearly.
