ACCOUNTING FOR TRAVEL BUSINESSES

Built for the way your travel business sells.

Travel accounting software for agencies, consolidators, corporate travel teams and tour operators. Bring ticketing, supplier activity, collections, branches and customer visibility into one accounting flow.

WHO SYSTACC SERVES

Different travel models. One clear financial story.

Each business sells travel differently. The books still need the same thing: every booking followed through to the invoice, the balance and the report.

01 · Travel agencies

Every ticket sold becomes an invoice, a receipt and a clear balance.

The desk issues tickets, books hotels and arranges visas through the day. SYSTACC brings each of those sales into the books as it happens, so the invoice follows the booking instead of waiting for someone to type it at night. Flights, hotels, cars, insurance, visas and rail all sit on the same customer account.

Collections stay in the same rhythm. A receipt lands against the invoice it settles, the outstanding updates, and the customer can receive the statement on email or WhatsApp. Branches work in one system, so the owner sees the whole agency rather than a pile of separate spreadsheets.

  • Invoices and credit notes for flights, hotels, visas, insurance and more
  • Receipts matched against the invoices they settle
  • Customer outstanding and aging, always current
  • Statements shared on email and WhatsApp

02 · Consolidators

Airline memos, commissions and branch postings, closer to the ledger.

A consolidator carries volume across airlines, sub-agents and branches. SYSTACC reads the GDS and airline files behind that volume and posts the ticket, the fare and the commission as one entry. Airline credit and debit memos come back against the tickets they adjust, so an ADM never floats without a source.

Commission changes can be applied in bulk, and inter-branch postings happen automatically when one branch sells on behalf of another. BSP, PLB and PSR views come from the same records, so settlement and supplier reconciliation start from the files the airline and supplier already sent.

  • Airline credit and debit memos against the original ticket
  • Bulk commission updates across sales
  • Automated inter-branch and inter-company postings
  • BSP, PLB and PSR reporting with supplier reconciliation

03 · Corporate travel

Corporate clients see their invoices, payments and ledger without asking.

Corporate accounts expect a clean invoice for every trip and a clear view of what is still open. SYSTACC raises GST-ready invoices and e-invoices from the same booking, with cost centres and salespeople set on the transaction, so the client receives a document their finance team can book straight away.

The corporate customer portal shows each client their unpaid invoices, payments and ledger. Finance spends less time sending statements and answering balance queries, and the account team can follow up on overdue amounts from the same aging view the books already hold.

  • Corporate customer portal for unpaid invoices, payments and ledgers
  • E-invoicing and GSTR-1 B2B from daily transactions
  • Cost centres, teams and salespeople on every entry
  • Bulk statements and reminders by email

04 · Tour operators

Packages, supplier costs and trip profit in one connected view.

A package has many moving parts: hotels, transport, guides, permits and activities, each from a different supplier. SYSTACC lets the team quote and send a pro forma, then record the purchases against the same sale, so the cost of the trip builds up next to the price the traveller paid.

Receipts and advances sit on the traveller account until the trip runs. Bill-wise profitability shows the margin on each departure, and supplier reconciliation confirms what is still owed to the hotels and transporters before the season closes.

  • Quotes and pro formas before the booking is confirmed
  • Purchases recorded against the sale they serve
  • Bill-wise profitability for every departure
  • Supplier balances reconciled before payment
